The short answer
An AI receptionist is software that answers your business phone calls using a natural-sounding voice. It can greet callers, answer common questions, book appointments into your calendar, take messages and send you a summary of each call. It works day and night, including weekends and holidays.
How it works
You give the AI your business information: services, hours, areas you cover, common questions and booking rules. When a call comes in (all the time, after hours, or only when you don't pick up), the AI answers, understands what the caller wants and responds using the information you approved. When the call ends, you get a text or email summary.
What it's good at
- Answering the same questions you hear every day
- Booking, moving or confirming appointments
- Taking detailed messages so you can call back prepared
- Answering after hours, when callers would otherwise hang up
- Passing urgent calls to you straight away
What it shouldn't do
An AI receptionist shouldn't make promises you haven't approved, give out pricing it isn't sure about, or handle sensitive conversations that need a person. A good setup limits the AI to approved information and hands the caller to a human when it isn't sure.
Is it right for your business?
It's usually a good fit if you regularly miss calls while working, get lots of repeat questions, or take bookings by phone. It's less useful if you get very few calls or every call needs a detailed, personal conversation.
Should callers know it's AI?
We recommend being open about it. The assistant can introduce itself as your virtual assistant, and callers can always ask to speak with a person. Honesty builds trust.
How to get started
Write down your most common questions, your services and hours, and how you take bookings. That's the raw material for a good AI receptionist. BMA can then set it up, connect your calendar and phone number, and test real call scenarios before it goes live.
Quick answers
Can I keep my phone number?
Usually yes. Calls can be forwarded to the AI when you don't answer, after hours, or all the time.
Will it replace my staff?
It's best used to catch the calls your team can't take, so people can focus on customers in front of them.
